  1. Q. What is the Waypoint Employee Self-Serve Portal and how will it affect me?
    A. The Waypoint Employee Self-Serve Portal is a secure web-based module of Quadrant HR that can be accessed from work and from home. It will allow you to access your pay statement and T4 Tax Slips electronically from the comfort of your home. You will be able to log into this new system and view/print your posted work schedule. As an added benefit, you will no longer need to contact your Manager or Human Resources to update your demographic data (i.e. address, phone number etc.). The Waypoint Employee Self-Serve Portal will allow you to automatically update our system with your most up-to-date contact information. We anticipate going live no later than end of March 2016, further details will be provided.
  2. Q. How do I know the Waypoint Employee Self-Serve Portal is secure?
    A. The Waypoint Employee Self-Serve Portal is designed like online banking. You are using a Web Server externally to view your information. The data is sent to you secure and encrypted. However, if you access the portal from an external non-Waypoint computer you should make sure that the machine you are using is without viruses.
  3. Q. Will I receive the 2015 T4 Tax Slip Electronically?
    A. Due to the timing of the Waypoint Employee Self-Serve Portal implementation Payroll will be sending 2015 T4 Tax Slips through the mail. However, the following year and moving forward all Employees who have consented to receiving their T4s electronically will be able to view and print them from the Waypoint Employee Self-Serve Portal.
  4. Q. If I indicated that I do not want to receive my T4s electronically; that I still want to receive them through the mail service, will I still be able to utilize the other features of the Waypoint Employee Self-Serve Portal?
    A. Yes, you may still utilize the Schedule Management, Pay Management and Personal Data (Demographic Data) Management features.
  5. Q. I currently obtain my Pay Statements from the "My Paystubs" site on Waypoint's PenNie internal webpage; will I still be able to receive my Pay Statement here?
    A. No. The "My Paystubs" internal site will be decommissioned shortly after the Go-Live date. Your pay statements, including past pay statements, will be found on the Waypoint Employee Self-Serve Portal Pay Management section. The site on Pennie "My Paystubs" will no longer exist and will redirect to the Waypoint Employee Self-Serve Portal.
  6. Q. Why is my personal email address required?
    A. The Waypoint Employee Self-Serve Portal uses your personal email address to email you to reset your password if you happen to forget your password to login.

    When we implement the next phases of Waypoint Employee Self-Serve Portal, Leave Management and Recruiting, the personal email address will be utilized to notify you that your leave request has been approved/denied and to confirm that your application for a job has been received.

  7. Q. What if I do not have a personal email address or do not want to provide my personal email address?
    A. We will utilize your work email address. If you forget your password you will receive an email to your work email to reset your password. You will not be able to access the system from home until you re-establish your password from work.
  8. Q. Is my schedule available real time?
    A. Yes. You will be able to see your posted schedule as per the Posted Schedule timelines. Day-of or next-day Quadrant HR Scheduling entry will be required to ensure that Employees are able to see the most up-to-date information. This will be another validation step of the information that is in our Scheduling/Payroll system and we believe should reduce amendments. If you notice any concerns with regards to your posted schedule please, contact your Manager or Staffing Office, if applicable.
  9. Q. Will I be the only person who will view my own schedule?
  10. A. Yes, you will be the only person who can view your schedule on the Waypoint Employee Self-Serve Portal. You will not be able to view other Employees' schedules.
  11. Q. Will all Employees' schedules be available through the Waypoint Employee Self-Serve Portal?
    A. Yes, this is available to all Waypoint Staff. You will be able to see your posted schedule through the Waypoint Employee Self-Serve Portal Schedule Management System. This system is available to all Employees of Waypoint, not just Clinical Employees.
  12. Q. If I am on a Leave, such as Parental or Short Term, will I be able to access the Waypoint Employee Self-Serve Portal?
    A. Yes, you will still be able to access the portal. However, if you have not provided us with your personal email address and you happen to forget your password you will need to call in to IT Support, as you will not be able to utilize the password reset from home. IT will provide you with a temporary password.
  13. Q. If I update my address in using the portal, do I need to contact my pension and benefit company to notify them of the change?
    A. Yes, you will need to contact the following to ensure they have your updated address and contact information:

    Visit www.hoopp.com to register as a new user and change your mailing address. You can also update your beneficiaries.

    Steps to Register as A new User:
    1. Visit www.hoopp.com (not HOOPP ese)
    2. Click on the Members Tab (on the top of the page)
    3. Click on Member Login (Found under "Get Connected"- close to bottom, left side)
    4. Click on Logon
    5. Click on Register as a New User (and follow directions)
    (Please note: Employees who are enrolled with both Pension Plans will need to contact both Companies. Please be aware that if you contact them by phone the Pension Companies will require your SIN)

    Great West Life has a website which you can utilize, once you register a new profile, to submit and view your claims. You can also change your mailing address under "Your Profile" and "Mailing Address", "View or Request Changes to Your Mailing Address" (Benefit Company will require the Waypoint Policy Number (57377) and your personal I.D. number, which is found on your drug benefit card)

  14. Q. Will I be able to make a name change through the Waypoint Employee Self-Serve Portal?
    A. No, you will not be able to make a name change through the portal. You will continue to contact your Human Resource Assistant in Human Resource Operations to provide them with a copy of your new Social Insurance Information with your new name. They will utilize that information to update your Manager and all other Stakeholders to ensure your name is updated in all Hospital systems.
  15. Q. If I have ended my employment with Waypoint will I still have access to the Waypoint Employee Self-Serve Portal?
    A. No. Once you are no longer a Waypoint Employee your portal access will be deactivated. You will receive your T4 Tax Slip by mail as well as your final Pay Statement. If you are no longer employed with Waypoint and require your final pay statement and/or T4 Tax Slip, please ensure you contact Human Resource to provide up-to-date contact information.
  16. Q. Will there be any information provided on how to use the system?
    A. As this new module of Quadrant HR will affect everyone at Waypoint, an information "How To" package will be distributed.
  17. Q. Who do I contact if I need help with the the Waypoint Employee Self-Serve Portal?
